Record completed-job hours and costs

Use completed-job results to compare the estimate with what the work actually required. Hours and direct cost answer different questions; enter each from evidence you trust.

Before you start

Sign in, open the accepted quote, and wait until the job is complete. Gather on-site cleaning time across all workers and the job's actual direct costs. Keep travel time separate from productive cleaning hours.

Add job results

  1. Open the quote's Track quote workspace and find Add actual job results.
  2. Enter Productive cleaning crew-hours: add each person's on-site cleaning time, excluding travel. Two cleaners working 2.5 hours each means five crew-hours, not 2.5. This is an illustration, not a customer result.
  3. Check the job-cost field and its description. It may show Modeled job cost, an operator-entered cost, or another saved cost source.
  4. If you have trustworthy actual direct cost, enter that amount. If you only know hours, leave observed cost missing rather than inventing it. A modeled cost may be useful as a calculation, but it is not observed cost.
  5. Confirm the final price associated with the work, then choose Save job actuals.
  6. Review the saved values and cost-source description before moving on.

What to expect

Hours can support an estimate-versus-actual comparison when their basis is clear. A cost-based margin also needs trustworthy cost and price evidence. A partial record remains useful, but it cannot answer every profitability question.

The interface can model a job cost using productive hours, your labor rate, the quote's modeled travel labor, and non-labor allowance. Treat that figure as calculated. Do not turn quote price, invoice total, or estimated cost into an observed direct cost.

Actual direct costs include defensible job labor and other direct expenses. Avoid adding monthly overhead a second time. Even a margin using observed direct costs is not complete accounting profit.

Common questions

Can I upload a spreadsheet? If your account offers CSV actuals import, review column mapping, validation, matching, and conflicts before confirming. Use the actuals import tools offered in your account; ask support if you need help matching historical records.

Will an import replace my confirmed values? Imported or connected evidence must not silently overwrite trusted primary actuals you explicitly confirmed. Changing those values requires your action.

Why are older hours excluded from accuracy? Their coverage may be unknown. Confirm whether they exclude travel; do not relabel an uncertain value just to improve coverage.

When to contact support

Contact support if values fail to save, costs have the wrong source description, or an import unexpectedly changes confirmed evidence.
