Cleaning business pricing comparisons
Free Cleaning Quote Calculators vs. Spreadsheets
A free tool can help you price residential cleaning work. The useful question is whether it reflects your scope, costs and target margin—and whether you can check what happened after the job.

Which free option fits your next quote?
A spreadsheet is a strong choice when you want to own every formula and have time to maintain it. A calculator is useful when you want a repeatable input flow. Neither can rescue incorrect labor assumptions or missing costs.
| Decision | Spreadsheet you maintain | PriceFlow Free |
|---|---|---|
| Set up the estimate | Choose your own inputs, formulas and layout. That flexibility also requires you to build and check the model. | Enter cleaning scope and business economics in an existing quoting workflow. |
| Review costs and margin | Can model labor, travel, supplies and target margin if you include and maintain them. | Uses labor, travel, modeled direct costs and your configured target margin to build the protected price. |
| Keep a record | Can track quotes and actuals in your own layout; consistency depends on your process. | Sign in to save quotes, share customer links, record decisions and enter manual job actuals under current allowances. |
| Customize or scale | Best for unusual models, custom analysis or a process you already trust. | Best for residential cleaning quotes; customer-ready quoting has a Free allowance, and deeper analysis requires a paid plan. |
Check the math before you trust the price
Estimate the work, price the labor, include travel and other direct costs, then check the target margin. Margin and markup are different: with $100 of direct cost, a 25% markup gives $125 of revenue and a 20% direct-cost margin. A 25% direct-cost margin requires about $133.33. Overhead and other expenses still affect profit.
A spreadsheet can do this correctly. Its tradeoff is maintenance: a copied formula or omitted cost can change a quote. A structured calculator reduces the need to build formulas, but you still need to enter realistic costs and review the scope. See the business-cost guide.
When a spreadsheet or another free calculator is preferable
Keep your spreadsheet if it already handles your workflow reliably, you need custom formulas, or you only want a private scenario without creating an account. Try a quick public calculator when a rough scenario is enough. Free tools vary: check which costs and assumptions each result includes before sending it to a customer.
Choose PriceFlow Free when you want a residential cleaning estimate, a customer-ready quote and a place to record the response and actual work. It requires sign-in for saved and shared work, and it is not a general spreadsheet or a scheduling platform. Explore the Free calculator.

Start with an introduction covering the first saved accepted, declined or expired outcome for each of 20 eligible quotes created in PriceFlow, across all plans. Afterward, Free includes five new customer-ready quotes each month, with no rollover. A quote counts once, when you first create its customer link or save a manual customer decision. Calculations, drafts, saving, actuals, corrections and existing customer responses remain available. Read what counts and when the allowance resets.
Free includes manual actuals. Pro adds Performance, a Health Snapshot and CSV import. Growth adds historical confirmation and Initial Review, supported estimating findings, approval of initial-service adjustments and monitoring. Imported history provides observations; it does not authorize an estimating change. Qualifying PriceFlow-tracked work is needed for that separate path.
Growth changes require your approval. A plan does not guarantee recommendations, improvements or profit. Review all plan details and allowances.
