Cleaning business pricing comparisons
Cleaning Pricing Calculator vs. Pricing Intelligence Software
A calculator answers what to charge for a job under your current assumptions. Pricing intelligence helps you review those assumptions and customer-price decisions using evidence from your own business.

One estimate and two different learning questions
| Question | Evidence | PriceFlow support |
|---|---|---|
| What should this job cost under my assumptions? | Scope, labor, travel, direct costs and target margin. | The same margin-safe quoting foundation on Free, Pro and Growth. |
| Could a higher customer price be worth trying? | Comparable customer quote outcomes created in PriceFlow. | Optional upward PriceBrain recommendations on Pro and Growth when evidence qualifies. You choose whether to try one. |
| Does an estimating assumption need review? | Trustworthy completed-job evidence, including actual labor and separately recorded direct costs. | Pro adds a Health Snapshot; Growth adds supported diagnosis, approved initial-service adjustments and later monitoring. |
What pricing intelligence adds—and what it asks of you
A calculator’s advantage is immediate usefulness: you can price the next job without waiting for history. Its limitation is that an estimate alone does not tell you how customers responded or how the work compared with the estimate. A spreadsheet and a disciplined review process can also help you learn.
PriceFlow brings those records into a structured workflow. PriceBrain uses quote outcomes to support customer-price choices. PriceHealth uses completed work to review estimating assumptions. Actual labor time and actual direct costs are separate evidence; weak margin by itself does not prove the labor estimate was wrong.
The tradeoff is evidence collection. Incomplete or incomparable records may support no recommendation. A paid plan does not remove that requirement. Historical imported work can support a Growth Initial Review, but it cannot authorize an adjustment or prove improvement from one. Explore the two learning paths.
When a calculator alone is enough
Stay with a calculator if you mainly need occasional estimates, your current review process works, or you do not yet have capacity to record outcomes and actuals. Start with Free if you want to build that history before choosing paid analysis.
Consider Pro for sustained quoting, performance context and optional qualified PriceBrain guidance. Consider Growth when you need historical review or supported estimating changes you can approve and monitor. PriceFlow does not set prices autonomously: you select the customer price and approve supported estimating changes. Later comparable work may show inconclusive results.

Start with an introduction covering the first saved accepted, declined or expired outcome for each of 20 eligible quotes created in PriceFlow, across all plans. Afterward, Free includes five new customer-ready quotes each month, with no rollover. A quote counts once, when you first create its customer link or save a manual customer decision. Calculations, drafts, saving, actuals, corrections and existing customer responses remain available. Read what counts and when the allowance resets.
Free includes manual actuals. Pro adds Performance, a Health Snapshot and CSV import. Growth adds historical confirmation and Initial Review, supported estimating findings, approval of initial-service adjustments and monitoring. Imported history provides observations; it does not authorize an estimating change. Qualifying PriceFlow-tracked work is needed for that separate path.
Growth changes require your approval. A plan does not guarantee recommendations, improvements or profit. Review all plan details and allowances.
